Naptown Jazz Kids Website Policies

Website: naptownjazzkids.org
Last updated: October 1, 2026

These policies explain how Naptown Jazz Kids (NJK, we, us, or our) handles personal information and the terms for using our website, online registration services, and family portal. They are intended to help students and families understand their choices and responsibilities.

PRIVACY POLICY

1. Information we collect

We collect information you provide when you contact us, register for a program, complete a form, make a payment or donation, or use a family account. Depending on the service, this may include parent or guardian names and contact information; student names, ages, school, grade, instrument, and musical experience; emergency contacts; and information needed to administer scholarships, enrollment, and participation.

Medical and safety forms may request allergies, health conditions, medications, accessibility needs, or learning supports relevant to safe participation. Please provide only the information requested. Do not submit Social Security numbers, full payment card numbers, or identification documents through ordinary email or general contact forms.

2. How we use information

We use information to administer programs, process registrations and payments, support student placement, communicate with families, provide portal access and educational materials, maintain records, and support student safety. Health and emergency information is used for safety, accommodations, and related program needs. Optional publicity or promotional uses require appropriate permission.

3. Sharing information

Information may be shared with authorized staff, instructors, and service providers as needed for program administration, website operation, forms, payment processing, and communications. Necessary participant information may also be shared with event organizers, venues, transportation providers, or emergency personnel for access, logistics, or safety. We may disclose information when required by law or reasonably necessary to protect legal rights or safety.

NJK does not sell personal information or authorize its use for unrelated third-party marketing. Family contact information is not made publicly available by NJK. When an outside organization collects information directly, including security information for a performance venue, its own privacy practices apply.

4. Children and family accounts

Parents or legal guardians should complete registration, payments, and required permissions for students under 18. Children under 18 should not independently create accounts or submit personal information through the website. Parents may provide information about their children as needed for participation and may contact us to review, correct, or request deletion of that information. Any collection requiring additional parental consent will be subject to that consent.

5. Photographs and recordings

NJK uses separate media permission for promotional use of identifiable student photographs, video, audio, names, or testimonials. Registration or website use alone does not grant that permission. Families may contact us about their preferences or withdraw permission for future promotional use. Previously distributed printed materials and content controlled by third parties may not be removable. Event organizers may have their own media policies.

6. Cookies and third-party services

Our website and its service providers may use cookies, technical logs, and similar technologies to support account access, security, payment functions, preferences, and website operation. Information collected may include IP addresses, browser or device details, and website activity. Embedded content or linked services may collect information under their own privacy policies. You can manage cookies through your browser and any controls offered on the website; blocking some cookies may affect login or checkout. Where required by law, optional tracking requires consent.

7. Payments, security, and retention

Online payments are handled through payment providers under their terms and privacy policies. NJK may receive transaction status and limited billing information for program and accounting purposes. Please use the designated payment process rather than sending payment credentials by email.

We use reasonable safeguards appropriate to the information we hold. No online system can guarantee complete security. Families should keep passwords private and notify us of suspected unauthorized access. We retain information as reasonably needed for program administration, safety, accounting, legal obligations, and dispute resolution, and delete or de-identify it when no longer needed.

8. Your choices and questions

Contact NJK through the contact information provided on naptownjazzkids.org to request access, correction, or deletion of personal information, withdraw an optional permission, or raise a privacy concern. We may verify your identity and authority before acting. Requests are handled subject to applicable law and legitimate recordkeeping obligations. Additional privacy rights may apply under applicable law. You may appeal a denied request by replying to our response.

You may unsubscribe from promotional emails using the link provided or by contacting NJK. Necessary enrollment, payment, scheduling, and safety messages may still be sent. Removing information needed for safe participation may affect our ability to provide a program.

9. Policy updates

We may update this Policy as our services or practices change. The last updated date identifies the most recent revision. We will provide additional notice or obtain consent when required by law.

TERMS OF SERVICE

Website: naptownjazzkids.org
Last updated: October 1, 2026

These Terms apply to the NJK website, online registration services, and family portal. Please read them before creating an account or registering. By affirmatively accepting these Terms during an account or registration process, you agree to them. Separate enrollment agreements and participation permissions may also apply.

1. Accounts and parental responsibility

An adult must create registration accounts, authorize payments, and accept these Terms. Anyone registering a minor must have lawful authority to do so. Provide accurate information, keep family and emergency details current, protect account credentials, and notify NJK of suspected misuse. Parents and guardians are responsible for supervising a minor’s authorized use of portal resources.

2. Registration and participation

Enrollment depends on available space, eligibility, placement, required forms, and payment or an approved scholarship arrangement. An account does not guarantee enrollment, a particular ensemble chair, or participation in a specific performance. Families must follow applicable program expectations and complete required safety and permission forms.

Schedules, instructors, venues, and performance opportunities may change. NJK will communicate material changes as reasonably practicable. Special events may depend on organizer requirements, security approval, weather, transportation, and other circumstances outside NJK’s control.

3. Tuition, payments, and scholarships

Tuition, payment deadlines, and any applicable fees are stated in the relevant registration materials. You authorize the payment transaction you approve. Scholarship awards and discount codes must be used according to the award terms. Assistance in one session does not guarantee assistance in a later session. Installments or recurring charges apply only when separately offered and expressly authorized.

4. Withdrawals, cancellations, and refunds

Any refund, withdrawal, credit, or cancellation terms disclosed and accepted during registration govern that purchase, subject to applicable law. If those terms are unclear or unavailable, contact NJK before completing payment. Families should contact NJK promptly about withdrawal or cancellation requests. If NJK cancels a paid program or makes a material change, it will communicate the available options. Nothing in these Terms removes a refund or other remedy required by law.

5. Acceptable use

Use the website and portal lawfully and respectfully. Do not attempt unauthorized access, share another family’s personal information, impersonate others, upload harmful content, harass participants, or disrupt services. NJK may restrict website or account access when reasonably necessary to address misuse or protect participants and information, subject to applicable law and any enrollment agreement.

6. Music and website materials

Website text, branding, photographs, recordings, music, and educational resources may be protected by copyright or other rights held by NJK or their owners. Participants may use assigned resources for authorized NJK activities. Portal access does not permit public posting, resale, or redistribution of copyrighted music or private materials. Obtain permission for other uses.

You retain ownership of materials you submit and permit NJK to use them as reasonably needed to provide the requested service and administer the program, subject to the Privacy Policy and separate permissions. This does not grant promotional rights to a student’s image or performance.

7. Outside services and website availability

Payment providers, linked websites, forms, embedded content, and event services may have their own terms and privacy policies. NJK does not control those services. We make reasonable efforts to keep our website accurate and available, but errors or interruptions may occur. To the extent permitted by law, website content is provided as available without a guarantee of uninterrupted access. This does not change expressly agreed program services or legal consumer protections.

8. Responsibility and applicable law

To the extent permitted by law, NJK is not responsible for indirect or consequential losses arising from website use. This provision does not exclude liability for fraud, willful misconduct, gross negligence, or liability that cannot legally be excluded. These Terms do not release personal injury claims, authorize medical treatment, grant media permission, or replace separate participation or trip documents.

Maryland law governs these Terms, subject to protections required by applicable law. Please contact NJK first about a concern so we can attempt to resolve it. These Terms do not require arbitration or waive statutory rights.

9. Changes and contact

NJK may update these Terms and revise the last updated date. We will provide reasonable notice of material changes and obtain renewed acceptance when required. Updates do not retroactively change completed purchases or accepted enrollment agreements without a lawful basis. If a provision is unenforceable, the remaining provisions continue to apply to the extent permitted by law.

For questions about these Terms, registration, payments, or privacy, contact NJK using the contact information provided on naptownjazzkids.org.
